Privacy Notice

Who are we?

Liveminds Limited is a UK-based supplier of technologies and services to the market research sector. We recruit members of the public on behalf of our clients to participate in their market research projects. We also provide technology and support services for clients running quantitative surveys and qualitative research projects.

Liveminds is a data processor for the majority of projects where we recruit participants on behalf of a client. In these cases, you will be made aware of who the data controller for that specific project is via information provided at the time of the screener.

On occasion, Liveminds will be a data controller for certain recruitment projects where the client name needs to remain hidden for a short time in order to avoid research bias. You will be made aware of whether Liveminds is the data controller for a specific project at the time of the screener.

Liveminds is the data controller for micro-surveys to establish incidence rates for a potential client project. We rely on the lawful basis of Legitimate Interests for collecting personal data directly related to these surveys. If we collect any sensitive data, such as health-related data, we will clearly explain our lawful basis of explicit consent for collecting that information prior to your participation in these micro-surveys.

The remainder of this document outlines how we process your data.

What personal data do we process?

Please note: For any given research project, the specifics of who the data controller is, what personal data will be processed and why will be detailed in its own project-specific privacy notice, as provided by the data controller at the start of the recruitment process.

Account Registration

When you request to take part in a research project we will ask you to create an account with us using your nameemail addressgender and preferred language as provided to us by a third-party login provider e.g. Facebook. We will use these details to contact you throughout the project; they will not be used for marketing communications. We will not share your contact details with any third-parties for the purpose of sending you marketing communications.

Screening Questionnaire

Once you’ve created an account we may need to ask you a number of questions to see if you are eligible to take part in the research project. The specific questions you will be asked will vary from questionnaire to questionnaire and have been determined specifically for that project by our client, the data controller. If we need to ask you about any special category data, such as details about your health, we will ask for your explicit consent at the start of the questionnaire.

As part of the questionnaire we may also you ask for your phone number. We will use your email address and/or phone number to let you know if you are selected to take part, keep you updated throughout the project about what you need to do next, contact you about your reward, and in case we need further information from you.

Micro-Surveys

When a customer approaches us to recruit market research participants on their behalf, we may run a short survey to establish how many people fit their requirements. The questions we will ask will differ from survey to survey. If we need to ask you about any special category data, we will ask for your explicit consent at the start of the survey.

We will also ask for your name and email address so that we can contact you so that you can apply to take part in the project if it goes ahead.

If you do decide to register to take part in the project, the answers you gave in the incidence rate surveys may be compared to those which you give to similar questions later in the project.

Personal data collected in these micro-services will kept for 9-months.

Payment

So that we can pay you your reward when you successfully complete the project, we may ask you to provide us with the email address you have registered with a third-party payment provider e.g. PayPal. Depending on the country in which you live, and therefore the payment services available to us, we may need to ask for additional information such as your bank account details or a form of identification, in order to make the payment.

Quantitative Surveys

Some research projects take the form of a survey. If you are selected to take part in such a project, details of how your personal data will be processed will be explained in its own privacy notice, shown at the start of the survey.

Qualitative Research Projects

If you have been invited to take part in a qualitative research project using the Liveminds platform or another third-party service, you can find details of how your personal data will be processed in that service's privacy notice.

Who will my personal data be shared with?

Please note: For any given research project the specific identities of our various partners will be detailed in its own privacy notice.

We use a number of different third-party providers to host our questionnaires and surveys. Unless otherwise specified on the project, our questionnaires and surveys are hosted at SurveyGizmo.

Your progress through a questionnaire or survey will also be shared with the advertising partner whose advertisement you responded to. This enables us to optimise our recruitment advertising campaigns.

Your contact details and your questionnaire and survey responses will be shared with the organisation running the market research project. They will also be stored in Google Drive.

To keep you updated throughout the project, we may need to contact you via email using the YAMM service, or via SMS using Cloudcom.

For projects being conducted in languages other than English, we may also share your contact details with a member of our local support network, who will be available to help if you have any problems during the project.

If you have been offered a reward for taking part in a project, we will pay you through a third-party payment provider. The specific payment provider will be dependant upon the country in which you live. Their details and the specifics of what personal data they will need to make your payment will be covered in the project-specific privacy notice.

For accounting purposes your contact details and bank details will be shared with our bookkeeper.

What other data do we process?

Cookies

When you use your web browser to access our services, an encrypted cookie is stored on your device that allows us to keep you logged in during your session, and to store incidental data across multiple requests. This enables us to provide you with a better user experience.

Request and Error Logging, Performance Metrics, and Web Analytics

Our servers log details of the requests made to them by your web browser or mobile device (including your IP address and other device-specific information) for debugging purposes. The details of these requests and any errors that may occur during their handling will be filtered and then transmitted to the Airbrake server monitoring service. Request data is also transmitted to the Google Analytics web analytics service. We use these tools to alert our development team to potential issues, generate aggregate usage metrics, and to help us fix any problems that may arise.

Correspondence Information

We will record any contact you make with us through email, phone, or via our Facebook page. Information submitted via our support address will be processed and stored at Desk.com. We may share your communications with our client if you have a question that we’re not equipped to handle. This allows us ensure that the right person deals with your request and that they have access to all the information they need to respond to it.

Other Interested Parties

We will disclose your personal information to other third-parties in the following circumstances:

  • In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.
  • If Liveminds Limited or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.
  • If we are under a duty to disclose or share your personal data in order to comply with any legal or regulatory obligation or request.
  • In order to enforce or apply any other agreement between Liveminds Limited and our customers.
  • In order to protect the rights, property, or safety of Liveminds Limited, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection.

How do we keep your data secure?

While the transmission of information via the internet is never completely secure, we do take all reasonable steps to ensure that your personal data is stored and transmitted securely. We regularly update and test our systems to guard against security threats.

We store your data with third-party providers that adhere to a robust set of security standards. The personal data of EU data subjects will only be transferred to, and stored in, the EEA, or countries that have been deemed adequate by the European Commission, or with providers that have an adequacy agreement in place e.g. EU-US Privacy Shield.

For participant incentive payments we use the PCI DSS compliant payment service PayPal where possible. For currencies not supported by PayPal, we use TransferWise who are regulated by region-specific financial authorities.

Your rights

You have the right to request access to the data we hold on you free of charge (unless the request is for multiple copies).

You also have the right to request the correction of your personal data if you can demonstrate that it is inaccurate or out-of-date.

You also have the right to withdraw your consent for any processing where consent is the lawful basis. This includes for any special category data (this includes data related to race, ethnic origin, politics, religion, trade union membership, genetics, biometrics, health, sex life, and sexual orientation).

You have the right to request erasure of your data (“right to be forgotten”). You also have the right to object to any processing carried out under the lawful basis of legitimate interests.

If you are not happy with our response you can lodge a complaint with the Information Commissioner's Office. Liveminds Limited is an ICO-registered data controller, registration number: Z3477467.

Verifying your identity

In order to protect the confidentiality of your personal data and others’, we will ask you to verify your identity before proceeding with any request you make under this Privacy Notice.

Changes to this notice

Any changes we make to our privacy notice will be posted to this page.
