Who are we?
Under the General Data Protection Regulation (GDPR) and the UK Data Protection Act 2018, Liveminds Research Ltd of 167-169 Great Portland Street, 5th Floor, London W1W 5PF is the registered Data Controller for this website. Liveminds is committed to protecting and respecting your privacy.
This privacy notice (together with our Terms and Conditions and any other documents referred to in it) sets out the basis by which we process personal data. It also describes your rights regarding use, access and correction of your personal data.
If you are recruited to take part in a market research project the data controller for that particular project will provide a project-specific privacy policy at the start of the process that will explain how your personal data will be used for that project.

Our lawful basis for processing your personal data
We rely on the lawful basis of Legitimate Interests for collecting personal data directly related to offering this website as a service. We rely on the legal basis of Consent for setting Cookies related to collecting data for optimising the website, user activity tracking and to run analytics related to site usage. We rely on Legitimate Interests or Consent for marketing activities and will always provide you with an unsubscribe option in every marketing communication from us. Where we use email-based activity tracking we rely on the legal basis of Legitimate Interest. If you are a customer that has engaged us in a recruitment or research project, we rely on the lawful basis of Contract to process your personal data.
How we process personal data
When you visit our website
When you use our website we automatically collect information about your computer hardware and software. This information can include your IP address, browser type, the files viewed on our site (e.g. web pages, graphics, etc.), operating system, access times and referring website addresses. This information is stored in log files used by Liveminds for system administration, to provide general statistics regarding use of the Liveminds website, debug issues and to improve our services.
If you request more information about our products or services, or request a quote for a project, we will ask for your contact details so that we can respond to your request. We will also store your details in our HubSpot CRM so that we can contact you about related matters in the future.
If you would like to receive regular updates from us we will request your consent to be added to our marketing mailing list.
Cookies
Our website uses cookies to distinguish you from other users of our website. When you submit your contact details through our site, HubSpot will set a cookie that enables us to record your interactions with the site so that we can identify which content you have engaged with and provide you with information most suited to your needs. We will obtain your consent before undertaking any such activity tracking.
Advertising
We partner with Facebook, Google, Instagram, LinkedIn, Pinterest and Twitter to manage our advertising on other sites. These partners uses cookies and web beacons to collect information about your activities on this and other websites, so that they can provide you targeted advertising based upon your interests. If you wish to not have this information used for the purpose of serving you targeted ads, users located in the European Union can opt-out at YourOnlineChoices. Users outside the EU can opt-out at TrustArc. Please note, this does not opt you out of being served advertising, you will continue to receive generic ads.
When responding to your requests
If you have contacted us for more information about our products or services, to help us to better identify your needs we may record some of the personal data you have published on social networks. Such data will include your profile URLs, place of work and job title. When we contact you to provide such information, you will have the option to unsubscribe from any future communication from Liveminds.
When we contact you via email your interactions with those emails will be recorded so that we can identify which content you have engaged with and provide you with information most suited to your needs in the future.
In the course of running a project
Other personal data we may process during the running of a project may include:
- Paper forms that you complete and return to us.
- Conversations with you, either in person or on the phone, which may be recorded for quality assurance and training purposes.
- Emails and other communications that you send to us and we send to you. If you contact us, we will keep a record of that correspondence.
- Messages you send to us through social media channels and comments you publish on our social media accounts.
- We may also ask you for additional information when you enter a competition or promotion sponsored by us or if you report a problem with our site.
How we use the information we collect
HubSpot
We use the HubSpot Subscription Service to create and share marketing, sales and customer service content. We also use HubSpot to help organise sales data about our sales pipeline (e.g. leads, customers, deals, etc.). The information added to HubSpot, either by our website visitors providing their contact information or when we add the information ourselves, is stored and managed on HubSpot’s service providers' servers. This information is then used to contact visitors who have expressed an interest in Liveminds services (e.g. completed a form on our website asking for further information about our services or emailed hello@liveminds.com requesting further information about our services) and to interact with customers. Customer testimonials and comments
We post customer testimonials and comments on our website, which will contain personal data. We obtain each customer's consent via email prior to posting their name and testimonial.
Social media reviews
Reviews and recommendations posted to our Facebook page or other public online forums may be posted to this website or our participant recruitment sites.

- Send information or content to you which we think may be of interest to you by post, email, or other means and send you marketing communications relating to our business.
- Promote use of our services to you and share promotional and information content with you in accordance with your communication preferences.

If you are a customer we use your personal data to:
- Provide our service to you.
- Respond to customer support requests.
- Carry out our obligations arising from any contracts entered into between you and us, including but not limited to, reminders of the schedule of activities in market research projects.
- Notify you about changes to our service.
- Respond to any queries, suggestions, complaints or disputes that you or our clients have contacted us about.

Our site contains links to and from the websites of our partner networks, advertisers and affiliates. We do not control, and are not responsible for, the content or practices of these other websites. Our provision of such links does not constitute our endorsement of these other websites, their content, their owners, or their practices. This privacy notice does not apply to these other websites, which are subject to their own privacy and other policies. Please check these policies before you submit any personal data to these websites.
How long do we keep your data?
We have set retention periods in relation to your personal data. How long we keep information we collect about you depends on the type of information. After such time, we will either delete or anonymise your information.
We retain personal data that you provide to us where we have an ongoing legitimate business need to do so (for example, as long as is required in order to contact you about our services, or as needed to comply with our legal obligations, resolve disputes and enforce our agreements).
If you have elected to receive marketing communications from us, we retain information about your marketing preferences for a reasonable period of time from the date you last expressed interest in our content or services, such as when you last opened an email from us. We retain information derived from cookies and other tracking technologies for a reasonable period of time from the date such information was created.
How do we keep your data secure?

We store your data with third-party providers that adhere to a robust set of security standards.
Transfers of personal data
The personal data of EU data subjects may be transferred to, and stored in, the EEA, or countries that have been deemed adequate by the European Commission, or with providers that have an adequacy agreement in place e.g. EU-US Privacy Shield. Additionally, support for some of our services is outsourced to a service provider based in the Philippines. This means your information may be transferred to a country whose data protection laws are less strict than in Europe. Liveminds ensure that suitable safeguards are in place to protect your personal data by using contractual clauses with the service provider that are approved by the European Commission.

Your rights
You have the right to request access to the data we hold on you free of charge (unless the request is for multiple copies). Please submit your access request to: support@liveminds.com.
You have the right to withdraw your consent for any special categories data (this includes data related to race, ethnic origin, politics, religion, trade union membership, genetics, biometrics, health, sex life, and sexual orientation).
You have the absolute right to ask us to stop processing your personal data for direct marketing purposes. You may unsubscribe from our marketing communications by clicking on the "unsubscribe" link located on the bottom of our marketing emails, updating your communication preferences, or by sending us email us at marketing@liveminds.com. Customers cannot opt out of receiving transactional emails related to their account with us.
You can also exercise the right for deletion of your data for marketing purposes at any time.
You have the right to request the correction of your personal data if you can demonstrate that it is inaccurate or out-of-date. You have the right to request that we delete your data under certain circumstances. We will take the necessary steps to delete your information, if reasonable and practicable, if you no longer wish to use our service. If there are any changes to your information, or if you would like to submit a request for deletion of your data, then please contact us.
